IT Property

What is Property?

Anything purchased on Berkeley Lab funding is owned by Berkeley Lab on behalf of the Department of Energy.  It is the responsibility of the custodian for LBNL property to ensure it is accounted for and maintained.  Berkeley Lab applies unique barcode tags to Equipment items costing $10K or more (Controlled) and items that are Attractive by definition, highly portable, easily converted to personal use and more susceptible to theft than other property regardless of cost, i.e, computers.  Property costing less than $10K and not sensitive by definition is tagged, when appropriate, with an orange tag identifying it as “LBNL/DOE U.S. Government Property”.  Such property is called Administratively Controlled Property.

The IT Property Management team ensures effective and efficient management of government assets within the division. By working directly with Berkeley Lab Property Management and our division staff, we support the needs of Berkeley Lab and the DOE by overseeing end to end management of assets.

Asset Custodian

The property’s custodian is the person responsible for maintaining accurate records of all DOE tagged equipment including locations, service records, users, items on loan or out for service repairs.

FAQs

Lost or Stolen IT Assets

It is the custodian’s responsibility to report lost, stolen or damaged property in a timely manner. Fill out the IT Property Assistance Form to report all losses (including thefts), damage or destruction of personal property immediately.

Lost DOE Tag

It is the custodian's responsibility to make sure that all of their assets remain tagged. If you lose your DOE tag, it falls off or is no longer legible, you must request a new DOE tag by completing the IT Property Assistance Form.

Turn-in Excess Property

When government property is deemed “excess” to the needs of the property custodian and the division, the property is sent to Excess & Salvage. Upon receipt, the property is made available for reutilization to Department of Energy agencies and other Federal government contractors, educational institutions, and nonprofit organizations.

To turn-in assets for excess and salvage, contact Tonisha Garza to start the process.

Asset Retirement

All personal property that is identified by a barcode tag and recorded into the Berkeley Lab Asset Management System (Sunflower) is subject to inventory control and several other DOE regulatory requirements.  When such property is worn out, lost, stolen, damaged beyond repair, destroyed, declared excess and disposed of or subjected to a transaction that legally removes the property from Berkeley Lab inventory control the property must be retired from Sunflower.

The process is initiated by the requester completing a Request to Retire Personal Property form and submitting it to Property Management.
